Scope

Description of formats for files with annual statistic reports from Danish public libraries about circulation and handling of physical materials and about borrowers to Danish Agency for Libraries and Media.

Validity of file

All lines except the last position (the counter) shall be unique. This condition is not case sensitive.

If multiple identical (except the counter) lines in files, only the last line will be recorded – and only the counter from this line will survive.

Lines with one or more empty positions will not be recorded. Exceptions to the rule:

Affiliation

The type of department which the item belongs to children or adult for public library or joint departments school/public library

MonoOrSerial

An item is monograph or serial. If tag 008 subtag t is p the value of MonoOrSerial is p. For all other occurrences the value is m for monograph.

Handle type

The type of entity handling the transaction – staff or borrower

Recipient codes

Codes for the person, institution or library who is target for the transaction

GMB+l

General material term (generel materialebetegnelse - GMB):

danMARC2, tag 009, subtag a – first occurrence

If GMB is r and tag 005 subtag z is p or q, then GMB+l it the letter l (for talking book). All other values of GMB is also GMB+l

If tag 009, subtag g is missing, the bibliographic item is reported as a text, use value xx.

Municipality code

4 digit number assigned to each municipality – place of domicile for borrowers

For persons without address according to national registration office (ingen folkeregisteradresse), use value 9999

Year of birth

4 digits for year of birth for borrowers

Borrower main type

Dividing borrowers into libraries or not libraries

Borrower group

Dividing borrowers into domestic municipality, other municipalities and libraries

Borrower category

Dividing borrowers into different kinds of libraries and other borrowers

Counter

Supplier code

Codes for the library who supply with ILL

  • File kopier to be struck out

Changes valid from reporting statistic for the year 2008:

  • Municipality number changed to Municipality code - and from 3 to 4 digits and definition linked to OIO.
  • Year of birth added as position 8 in files udlaan and forny – and Counter moved from position 8 to 9. Remark that the change of file format must not be used when reporting for 2007.
  • New file interin added with counting of received interlibrary loans. Remark that reporting this file for 2007 will be acceptable, but the file will not be used.

Changes valid from reporting statistic for the year 2009:

  • Files names now have “.txt” added
  • Supplier code – definition and codes added
  • Supplier code added in position 5 in file interin.txt and counter moved to position 6
  • Examples added to interin.txt
  • Value of library number in examples changed.
  • Reference to OIO InfoStructureBase updated
  • Sorting of Definitions and Values now alphabetical
